HVAC estimate follow-up email templates

Most HVAC shops do eventually follow up on unsold estimates. The problem is that the message is often too vague, too late, or too awkward. These templates are designed to restart the conversation without sounding desperate.

Template 1: short same-week follow-up

Subject: Quick follow-up on your HVAC estimate

Hi {{first_name}}, just checking in on the estimate we sent over for {{job_type}}. If you want to move forward, have one question, or want us to adjust the scope, reply here and we will get it handled.

Template 2: no-response estimate

Subject: Still open if you want to revisit this

Hi {{first_name}}, keeping this simple. Your estimate for {{job_type}} is still open on our side. If timing changed, budget changed, or you want a second pass on options, reply and we can help you sort it out.

Template 3: soft-close follow-up

Subject: Should we close this estimate out?

Hi {{first_name}}, I did not want your estimate to sit unanswered forever. If this project is on hold or you went another direction, no problem. If you still want help, reply and we will pick it up from here.

What makes follow-up emails work better

  • mention the specific job or system, not just “your estimate”
  • make it easy for the prospect to reply with a short answer
  • give them an easy out instead of forcing a hard yes
  • avoid over-explaining or pushing too much urgency too early
